Hotel Fam Club User Policy & Terms & Conditions

Welcome to Hotel Fam Club, a dedicated membership club designed to support proactive travel advisors in experiencing hotels, holiday homes, and resorts around the world firsthand through individual familiarisation stays. Following these stays, members are expected to share a full stay gallery and detailed write-up with all members on www.hotelfamclub.com.

By joining Hotel Fam Club, you agree to the following terms and conditions:

Membership & Fees

The 12-month membership fee is £150, payable upon joining and non-refundable due to instant access.
Membership can be cancelled at any time, but the £150 fee remains non-refundable.
Membership grants access to exclusive opportunities for familiarisation stays and invaluable insight into how hotels operate and make decisions.
Members who have sourced stay dates outside of their 6- or 12-month membership must still complete the stay on behalf of Hotel Fam Club and their own business, or forfeit the stay. Hotel Fam Club reserves the right to inform hotels if a member is non-compliant, which may result in the cancellation of the stay.

Familiarisation Stays & Opportunities

Members can request familiarisation stays directly using the provided email templates or apply for stays sourced by Hotel Fam Club.
Hotel Fam Club does not guarantee placement on any familiarisation stay. Final decisions are made by hotel leadership teams.
Hotels may require evidence of potential to drive bookings before approving a stay. Hotel Fam Club encourages hotels to see stays as a sharing opportunity, not solely as a reward for past sales.

Club Purpose & Conduct

Hotel Fam Club is a professional tool for entrepreneurial travel advisors and is not a community group.
Members must act professionally when corresponding with hotels and when representing Hotel Fam Club.
Hotel Fam Club does not provide free or guaranteed stays. We create opportunities and connections; hotels make the final decisions.

Social Media & Sharing Requirements (Non-Negotiable)

Familiarisation stays come with clear expectations that are non-negotiable and essential for maintaining the value and credibility of Hotel Fam Club:

You must share on social media before, during, and after your stay. This is the most effective way to raise awareness and drive bookings.
Pre-Stay: Share in the run-up to your stay. You can use Instagram Stories, Reels, email marketing, or simple social posts to create anticipation. You do not need to tag the hotel or Hotel Fam Club.
During Stay: You must share your experience while on-site. This can be done with stories, short videos, or posts. For privacy reasons, you do not need to reveal the exact location.
Post-Stay: Continue sharing after your stay. You are not an influencer doing a one-off visit. The point is to build trust and repeat visibility over time.
Full Write-Up & Gallery: You must submit a completed write-up and photo gallery to Lotte at Hotel Fam Club within seven days of your stay. This is non-negotiable. If your submission is not clear, useful, or well written, it will be returned for improvement.

These requirements ensure we continue to build trust with hotel partners and maintain the high standard of Hotel Fam Club for all members.

Hotel Fam Club Content Disclaimer

All content from familiarisation stays (videos, photos, write-ups) arranged or provided via Hotel Fam Club is for your personal, business use only: this includes your website, emails, and social media. You must not share, sell, or distribute the content elsewhere inlcuding your host travel agency. Respect for fellow members and hotel partners is essential.

Liability & Responsibility

Hotel Fam Club is not liable for changes or cancellations made by hotels.
Members are responsible for their own travel arrangements, additional expenses, and adherence to any hotel-specific terms.
Membership may be revoked without refund if a member is found to misuse resources, organise stays independently using Hotel Fam Club's name, or behave unprofessionally.

By joining Hotel Fam Club, you agree to these terms and commit to using your membership in a professional, respectful, and proactive way.
