Hotel Fam Club

User Policy & Terms & Conditions (March 2026)

Welcome to Hotel Fam Club, a professional membership designed to support proactive travel advisers in experiencing hotels, holiday homes and resorts firsthand through individual familiarisation stays and contributing meaningful, shared insight for the benefit of all members.

By joining Hotel Fam Club, you agree to the following terms and conditions.

Membership & Fees

Hotel Fam Club currently operates on a four month Membership.

The membership fee is £125 for four months, payable upon joining and non refundable due to instant access.

Membership can be cancelled at any time, however no refunds are offered under any circumstances.

Membership includes immediate access to guidance, resources, stay galleries and written content shared by other members.

If a member is actively pursuing or has been approved for a familiarisation stay that falls outside their current membership period, they are required to extend their membership to cover the date of that stay. This is the member's responsibility and their decision. Hotel Fam Club reserves the right to inform the property if a member's membership has lapsed, which may affect the fam stay opportunity and its associated deliverables.

Familiarisation Stays & Opportunities

Members are encouraged to arrange their own familiarisation stays:

Independently using Hotel Fam Club email guidance and templates, or via direct introductions made by Hotel Fam Club.

All familiarisation stays undertaken as part of your business and Hotel Fam Club membership, whether self sourced or introduced, fall under these terms.

Hotel Fam Club does not guarantee familiarisation stays. All final decisions remain with hotels, holiday home owners or their representatives.

Hotels may request evidence of professionalism, sales capability, or potential return before approving a stay.

Hotel Fam Club's role is to support opportunity creation, not to guarantee outcomes.

Core Club Requirement (Non Negotiable)

Hotel Fam Club asks one thing only of its members.

For every familiarisation stay completed, members must submit:

A human written, detailed, thoughtful write up, and a high quality gallery including photos and videos.

This must be delivered within 24 hours of the stay ending.

These materials are shared with all members and are central to the value, credibility and integrity of the club.

Delays, Non Compliance & Membership Review

If a gallery and write up are not received within 24 hours, Hotel Fam Club will inform the property that the submission is delayed.

This communication exists to protect hotel relationships and the reputation of the club.

Continued failure to submit required content may result in membership being paused, or membership being cancelled without refund.

This requirement has been made clear to all members and is fundamental to participation.

Social Media Sharing

Sharing on social media before, during, or after a stay is highly recommended but not required.

Members may choose how they market their business.

If a member has specifically agreed with a property to share content socially, that agreement must be honoured.

Content Usage & Restrictions

All content created through Hotel Fam Club stays is for your personal business use only, including client communications, your website and your own social media channels.

Content must not be shared, sold, redistributed, or used by other agencies, host agencies, or third parties.

Respect for fellow members and hotel partners is essential.

Liability & Responsibility

Hotel Fam Club is not responsible for hotel cancellations, changes or decisions.

Members are responsible for their own travel costs, incidentals and compliance with property terms.

Hotel Fam Club reserves the right to revoke membership without refund if a member misuses club resources, represents the club inaccurately, fails to act professionally, or uses the club name to secure stays without disclosure.

Agreement

By joining Hotel Fam Club, you confirm that you understand and accept these terms and agree to participate in a professional, respectful and proactive manner that protects hotel relationships and the integrity of the club.
